Gmail will receive an external model to identify emails from recipients outside of your Google Workspace organization

In addition to the existing warning banner displayed before replying to the email with external recipients, a new label has been added.

Google is adding an “external” tag to identify email threads/conversations that include recipients outside of the user’s Google workspace organization. This is done to identify emails that are sent to you or emails sent by people outside of your organization. In addition to the existing warning signs that appeared before responding to emails sent from outside the organization, a new logo was added. 


Google said these alerts can not only help Gmail users avoid unintentional responses, but also remind them to treat external emails and related data with caution. According to the Google blog post, an orange “external” email tag will appear in the subject line of all of these topics. The launch of the new feature started on April 29, Gmail for web and Android users, and will be available for iOS users later. 

All Google Workspace and G Suite Basic and Enterprise Edition customers can use it. The motto “external” is an additional warning. Currently, unexpected external reply warnings appear in Gmail, reminding users to contact recipients who are not part of their organization. 

A similar feature is also available in Microsoft Outlook, where the platform notifies users that “emails from external organizations have been generated.” But Microsoft did not provide an “external” catchphrase similar to Google’s to identify those emails in the subject line.

By default, administrators can disable additional warnings when new Gmail tabs are opened. The company explained: “As an administrator, you can activate alerts for messages that include external recipients.” External recipients warnings on or off in Gmail Settings. 

Here are the steps to change the “external” recipient warning.

1.Sign in to the Google Admin console using the administrator account. 

2.From the Admin console Home page, go to Apps > Google Workspace > Gmail > End User Access. 
3.Select your top-level organization and scroll to the Warn about external recipients setting. 
4.Check or uncheck the box to turn warnings on or off, and click Save. 

Google says that it can take up to 24 hours for these alert settings to reflect for all users in an organization.
